Introduction

The Circulation messages of CuteFlow can have two types of content. First, you can attach files to the circulation message. These files will be sent as attachments to the user. The files can be used for illustrations or other describing material for example. The other content part of a circulation message are the input fields. These fields will be shown in an email message so the receiver can enter information into the fields. The information entered will be displayed to everyone who comes next in the routing list.

A circulation message is structured in “Slots”. Slots control how the circulation is routed and what input fields are displayed for user input along each stop. A slot can be a department for example (i.e. Construction, Sales…). Every slot has one or more assigned users, and every slot may have assigned input fields where those users enter information.

Users are assigned to Slots using Mailing Lists in CuteFlow. A user can be assigned to more than one Slot and that user will get the circulation message as often as he is in the mailing list.

Input Fields are assigned to Slots by creating Document Templates. A user who gets the circulation message through email may only change values in the input fields that are in the same Slot as himself. This prevents that a user from overwriting information which he is not allowed.

Step-By-Step

Here’s how to start CuteFlow and how to enter all the required information that must be in CuteFlow before you can start creating circulation messages. Click on each step for details.

  1. Start the Application - The URL to start the system and the default user name and password.
  2. Setup the Users - As you might imagine, to use the system first individuals must be first assigned user names and passwords. This section explains how to add and manage Users.
  3. Setup the Fields - Input fields are used to enter information at each step of a circulation, but first those fields need to be defined.
  4. Setup a Template - A template is used to indicate which fields (that were created in the previous step) should be displayed and filled-in by the user as a circulation message is routed.
  5. Setup a Mailing List - A mailing list is used to assign users (created in step 2) to each step of a routed circulation message.
