Processing a Circulation

Circulations - Explains how to start a circulation message; get the status of a circulation; and how to delete, stop, archive, or modify the flow of a circulation. This page is devoted to processing a circulation that’s been routed to you in it’s normal flow and how to restart a declined circulation.

When it’s your turn to process a circulation, you’ll be notified via e-mail. The circulation will also show up in your To Do list so when you login to CuteFlow you’ll see a screen like this:

Note: If you have a long list of To Do items, you can used the Advanced Filter Options which is explained in detail on the Archive page, and you may want to automatically refresh this screen by selecting the Auto Reload check box.

It may be necessary to View the Circulation Details before you can determine how to process a circulation. Click on the (Show Circulation Details) icon to open a new windows which shows the attachments to a circulation and other relevant information. When done, close this window.

When ready to process the circulation, click on the (Edit Circulation) icon.

On the Edit Circulation screen you will fill-out the fields that have been associated with this circulation. You also have a key decision to make: To accept the content of this circulation or to decline it.

If you accept the contents of the circulation, the circulation will leave your To Do list and move on to the next user.

If you decline the contents of the circulation, the circulation will essentially stall and will need some further handling.

Restarting a Declined Circulation

When a Circulation has been Declined, it will remain in the Circulations list and require some further action. The Circulations page explains how to delete or archive a circulation, but chances are you’ll want to Restart the circulation rather than deleting it or archiving it.

Who Restarts the circulation and what options that user selects depends on the circulation and maybe why the circulation was declined. In other words, someone will probably restart the circulation, but who and when will depend on your own internal procedures. Here, we can only cover how and what options are available.

To restart a declined circulation, you click on the (Restart Circulation) icon for that circulation.

You’ll see this screen looks similar to the screen that you use to create a circulation, but there are some important options here that are unique to restarting the circulation.
